Hi, One of our tour participants asked for a special personal assistant to accompany him on our tour. We provided the assistant. The participant was not able to complete the tour due to illness. He is now asking for a refund for the special assistant. He also has a massive "laundry list" of complaints about the tour, the way it was run etc.. There were 15 people on the tour and we heard no complaints from the other participants. We don't mind refunding the money for the special assistant, but if we send him the money, we want to make sure he wont act on the other complaints. Also, we dont want this refund to be construed as some kind of admission of guilt on our part. Its our idea that we should send him some kind of polite letter/contract to sign that says he wont act on any of the other complaints in his "laundry-list", and then he will send us back the letter/contract with his signature before we send him the refund. Is sending this kind of letter a good idea? If so, where is a good resource for the language that needs to go into this kind of letter? His address is in New York and Vermont (he seems to live in both states). Thanks for the assistance!
