I am a non-profit where I have vending machines setup for service. One of the machines has not serviced the item in a long while (three months).

I do not have their phone number.

There is no written contract, and we have not received any compensation (as it happens per the service)

When is it legally acceptable to take ownership and service it ourselves and collect our fee.

Doubtful there is any procedure to allow you to take the machine and use it as your own.
If you want it serviced or removed, you're going to have to work a little harder to find the owner.

Never

You don't get to simple seize another's property and lay claim to ownership.

If there is no contract, find a corner in a store room and move the machines and engage some vending service to set up wherever you want them to or purchase your own machines.
